CALENDAR for GMEI Administered Programs

January

  • Update list of participating sites (where your trainees rotate). GMEI will use this information to ensure appropriate and current master affiliations are in place. Master affiliations are agreements with other teaching institutions and address multiple programs.
  • Review existing letters of affiliation and identify any letters that will need to be updated in the calendar year. E-mail GMEI at carol.parkerlee@hc.msu.edu for assistance.

February

  • Using the checklist, provide GMEI with the required information to assist with the annual program budget development and contract creation processes.

March

  • E-mail GMEI at jennifer.mora@hc.msu.edu with the legal names and credentials (MD/DO) of residents/fellows that matched so that contracts can be written.
  • Send welcome letter to incoming residents/fellows. GMEI programs must include language provided here.
  • In appropriate communication forums, refer incoming residents/fellows to GMEI’s website for all employment related forms including federal/state/local tax forms and benefits enrollment.

April

  • GMEI can order certificates for graduating residents/fellows. To see a template, click here. If you would like GMEI to order certificates for your graduates, please e-mail GMEI at eric.treanor@hc.msu.edu the graduating residents’ names as they would like them to appear, credentials (MD/DO), and the list of individuals who should sign with their name, credentials, title and institution.
  • Place order for lab coats & pagers for incoming residents/fellows.
  • Schedule orientation time with GMEI for incoming residents/fellows.
  • E-mail GMEI at eric.treanor@hc.msu.edu with the list of chief residents for the upcoming academic year.

May

June

  • Residents/Fellows completing their program June 31 must submit outstanding check requests by June 10.
  • Complete the employment termination checklist for residents/fellows completing their training.
  • E-mail GMEI at jennifer.mora@hc.msu.edu the rotation schedule for the upcoming academic year.
  • Assist GMEI in securing employment associated paperwork for incoming residents.

July

  • E-mail GMEI the list of PEERS Day participants (targeting new residents/fellows) identifying which session they will be attending.

August

  • Review program website to ensure information is updated and all links are active in preparation for recruitment season.

September

  • Maintain communication with GMEI on the numbers of candidates being interviewed and associated expenses to ensure appropriate funds are available, particularly in the MSU agency accounts.
  • Obtain latest benefit and stipend information from GMEI in preparation for recruitment season.

October – December        Recruitment Season
